QuickBooks Online is the stronger starting point for a US business that needs inventory in its accounting system, deeper controls in its highest tier or an accountant already committed to Intuit. Xero is a compelling option for a growing service business that needs several people in the books, straightforward bank reconciliation and predictable access without per-user license fees.

Current US list prices differ from many older comparisons. QuickBooks Online lists Simple Start at $38, Essentials at $85, Plus at $140 and Advanced at $340 per month. Xero lists Early at $27, Growing at $59 and Established at $97 per month. Both companies advertise introductory offers, so use regular rates for a full-year budget and check the checkout total.

A controller shouldn't decide on price alone, so work through four questions: who prepares transactions, who reviews reconciliations, how the period is protected after close and which evidence can be exported later. A low subscription bill won't compensate for a broken handoff between those people.

Choose QuickBooks Online when

Inventory and job profitability need to live in the accounting workflow.

Your bookkeeper or accountant already runs the close in QuickBooks.

The finance team needs Advanced reporting, custom access controls or batch workflows.

Choose Xero when

Several preparers and reviewers need access without per-user license charges.

A service business can work within Growing and doesn't need QuickBooks inventory.

Bank reconciliation, foreign currency or projects fit the selected Xero plan.

On this page

QuickBooks vs Xero pricing in the US

Which system is better for month-end close and financial control?

Bank reconciliation: automation versus evidence

Inventory, projects and multicurrency: where the fit changes

Payroll in QuickBooks and Xero

QuickBooks vs Xero total cost for a finance team

How to migrate from QuickBooks to Xero or from Xero to QuickBooks

QuickBooks vs Xero: which should you choose?

Frequently asked questions about QuickBooks and Xero

QuickBooks vs Xero pricing in the US

QuickBooks Online's regular monthly accounting subscriptions range from $38 to $340 for its main paid plans. Xero's US plans run from $27 to $97, with no per-user license fees. These are base subscription prices, not payroll-inclusive totals, and they exclude optional add-ons and transaction charges.

Accounting plan

Regular price (USD per month)

Included company users

Main buying boundary

QuickBooks Simple Start

$38

1

Core books and invoices

QuickBooks Essentials

$85

3

More staff access and enhanced reporting

QuickBooks Plus

$140

5

Inventory and project profitability

QuickBooks Advanced

$340

25

Custom permissions, reporting and batch workflows

Xero Early

$27

No per-user license fee

Limited invoices and bills

Xero Growing

$59

No per-user license fee

Expanded invoicing and reconciliation automation

Xero Established

$97

No per-user license fee

Multiple currencies and project tracking

Prices checked against vendor US pages in October 2026. Intuit changed Essentials, Plus and Advanced renewal prices on or after August 1, 2026. Xero's latest US increase took effect on October 1, 2026, and the Xero prices above are the new ones. If your invoice differs, check the renewal notice and subscription screen before making a switching decision.

The plans aren't interchangeable

QuickBooks Essentials and Xero Growing both suit teams handling invoices, bills and routine bookkeeping, but their permissions and automation aren't identical. QuickBooks Plus adds inventory and project profitability. Xero Established adds foreign currency and project tracking, but that doesn't make it a direct substitute for every inventory or industry workflow in QuickBooks.

Xero Early is easy to underestimate. The official US plan includes up to 20 invoices and 5 bills, so an AP team can outgrow it before user access becomes a concern. Growing's usually the more useful baseline for a company with steady supplier invoices.

Promotions aren't recurring savings

Both vendors display introductory promotions, but a temporary discount isn't a durable operating-cost advantage. Calculate base subscription fees separately from payroll, payments, optional inventory tools, implementation and accountant support. The renewal price is the number that belongs in your budget.

Xero's US page currently advertises 90% off for the first six months, with the offer ending November 2, 2026, after which the subscription returns to its regular rate. Intuit's pricing page shows 50% off for three months, and offers can differ by channel or checkout session. Don't build a long-term budget from a discounted tile.

For individual plan boundaries, see our QuickBooks Online pricing guide and Xero pricing guide.

Which system is better for month-end close and financial control?

QuickBooks and Xero both support the accounting work behind a monthly close. The meaningful differences are how a reviewer spots exceptions, how a closed period is protected and what supporting documents can be retrieved later. Neither system replaces the team's documented preparer, reviewer and sign-off workflow. On controls alone it's close to a draw: QuickBooks pairs a closing date with an exceptions report, while Xero pairs lock dates with a reconcile period record.

Tool

User access

Bank reconciliation

Period protection

Inventory

Projects

Payroll

QuickBooks Online

Fixed plan allowance

Bank feeds, reconciliation and closing controls

Closing date and exceptions report

Integrated on Plus and Advanced

Project profitability on Plus and Advanced

Optional QuickBooks Payroll

Xero

No per-user license fee

Bank feeds, reconciliation and JAX on eligible plans

Lock dates and reconcile period records

Stock tracking with optional Inventory Plus

Projects on Established

Optional Xero Payroll powered by Gusto

Closing-date controls

QuickBooks has a closing-date setting and an Exceptions to Closing Date report. An administrator can set the closing date and review changes made after it, which is useful when the controller signs off a period and later needs to explain an adjustment. A password-protected date is a control, not evidence that every account was reviewed.

Xero offers lock dates and a reconcile period feature for US and Canadian bank accounts. Xero says the reconcile period workflow lets a user define a statement range, compare balances, save a balanced period and create a reconciliation report. The finance team still needs to decide who's allowed to change a lock date and who signs off the final balances.

A close workflow still needs an owner

Consider a team in which an AP specialist posts supplier bills, a staff accountant clears bank exceptions and the controller reviews the balance sheet. The accounting platform stores transactions and reports. It doesn't automatically establish who accepted an unresolved variance, whether the reviewer saw the attachment or when sign-off occurred. That's the team's job.

Make a close register with columns for task, preparer, reviewer, evidence link, due date, completion date and exception owner. Tie each task to the report or exported record in QuickBooks or Xero. The sign-off should describe the actual review, not merely that someone clicked a checkbox.

A practical month-end close checklist can hold the surrounding process. The software comparison remains about accounting capabilities, while the checklist documents responsibility for each account.

Bank reconciliation: automation versus evidence

QuickBooks Online and Xero both support bank reconciliation, but automation doesn't eliminate review. Xero documents a JAX workflow that uses rules, matching, memory and prediction to suggest or complete reconciliations when confidence is high. Xero says this automation is available on Growing or above, while ordinary bank reconciliation is included in Early.

For a controller, the test isn't whether a bank line turns green quickly. It's whether the reviewer can distinguish a genuine match from a mistaken one, identify unreconciled items and save the evidence needed to explain the balance.

QuickBooks has bank feeds and reconciliation workflows, while its closing-date exceptions report gives a controller a way to inspect changes after a period was closed. That distinction matters when the reviewer is different from the person importing transactions.

A reconciliation test for either product

Use a sandbox or test organization if the vendor provides one. Import representative bank transactions, then walk through a duplicate payment, a bank fee, a late supplier bill and a receipt that hasn't been matched to an invoice. Don't judge the software only by clean transactions; real books aren't clean.

For each exception, record what the preparer can change, what the reviewer can see and what report is available after the month is locked. Check whether an exported report includes relevant dates and whether source attachments remain accessible to the accountant.

The non-negotiable control is a named reviewer for unresolved differences. Automatic matching is helpful, but it isn't approval of a material reconciling item.

Reconciliation isn't close sign-off A matched bank feed line isn't proof that the balance sheet was reviewed. Keep the reviewer decision and supporting statement with the period's close evidence.

Inventory, projects and multicurrency: where the fit changes

QuickBooks Plus and Advanced include inventory tracking, according to Intuit's product documentation. The workflow covers quantities on hand, reorder alerts, purchase orders and inventory reports. For a retailer or distributor that relies on inventory accounting, this can justify QuickBooks even when Xero's base subscription is cheaper.

Xero has standard inventory capabilities and offers Inventory Plus as an optional feature on eligible plans. A buyer should test the exact item, purchase and fulfillment workflow rather than assuming the word inventory means the same depth in both products.

For service firms, project tracking may matter more than stock. QuickBooks Plus offers project profitability, while Xero Established includes tracking time and costs for projects. Compare how expenses reach the project, how labor costs are classified and what the manager can export at month-end.

International transactions

Xero Established includes multiple currencies. The plan's published feature list also includes a longer cash-flow forecast and employee expense claims. For QuickBooks, check the plan comparison to confirm that multicurrency is included in the tier you're considering before a foreign-currency migration.

Currency conversion isn't the only concern. Ask how the accounting team handles exchange differences, foreign-currency bank accounts and the review of unsettled receivables. If the controller can't explain the journal and report trail, the feature checkbox won't help at close.

Payroll in QuickBooks and Xero

QuickBooks offers payroll as an optional service alongside its accounting subscriptions. Xero also offers an integrated US payroll experience powered by Gusto, which it announced in August 2026. Older comparisons describing Xero as having no integrated US payroll option may be out of date.

QuickBooks payroll pricing varies by plan and isn't priced in this comparison. Xero's current US pricing table lists optional payroll at $36 a month plus $6 per employee or contractor. That's separate from the base Xero accounting subscription. Eligibility, payroll tax services and additional charges should be checked for the business.

The operational distinction is how payroll results reach the general ledger. A controller should check the mapping of wage expense, employer taxes, benefits, reimbursements and payroll liabilities. The team also needs a clear owner for reconciling the payroll clearing account after each run.

Xero's Gusto materials describe payroll data syncing into accounting records. QuickBooks describes payroll integration with its accounting system, but the buyer should verify the selected payroll subscription and which reports the bookkeeper can export. Neither integration removes the need to review liability balances and bank payments.

Sample payroll-inclusive Xero budget

A company on Xero Growing with five people paid through optional payroll would have a simplified software starting point of $125 per month: $59 for Growing plus $36 base payroll plus five times $6. That's illustrative arithmetic using displayed US prices, not a quote or an all-in payroll bill.

The example excludes taxes, payment fees, extra services and migration labor. Don't compare it with QuickBooks accounting-only pricing as though both totals included the same functions.

QuickBooks vs Xero total cost for a finance team

The base-price gap is meaningful, but only after you've picked plans that support the same work. Xero Growing at $59 is $81 per month below QuickBooks Plus at $140, or $972 over twelve months at unchanged list prices. Those plans aren't feature equivalents, because QuickBooks Plus includes inventory capabilities that may require a separate Xero option.

At the upper end, Xero Established at $97 is $243 per month below QuickBooks Advanced at $340, or $2,916 over twelve months. The difference is a subscription comparison, not a claim that Xero reproduces QuickBooks Advanced's custom reporting, access controls or automation.

Price the workflow, not the logo Compare accounting, payroll, payments, inventory options, implementation, accountant effort and close-review work separately. A cheaper subscription can still produce a more expensive close.

Buyer scenario

QuickBooks option

Xero option

What can change the choice

Solo invoicing and basic books

QuickBooks Simple Start

Xero Early

Early invoice and bill caps

Service team with several collaborators

QuickBooks Essentials or Plus

Xero Growing

User allowance, reporting and bill workflow

Product business with stock

QuickBooks Plus

Xero Growing or Established, with Inventory Plus evaluated

Costing and stock controls

International project services

QuickBooks Plus or Advanced, with multicurrency confirmed

Xero Established

Currency workflow and project evidence

Controller-led close with custom controls

QuickBooks Advanced

Xero Established plus separate close process

Permissions, reports and audit trail

The price gap isn't the only cost of switching. Exported reports, chart-of-accounts cleanup, historical attachments, accountant retraining and reconciliation of opening balances consume staff time. Ask your accountant to estimate that effort before cancelling the existing subscription.

How to migrate from QuickBooks to Xero or from Xero to QuickBooks

A safe migration preserves the opening balances and evidence supporting them. Start by defining a cutover date, then decide which historical records must remain accessible and which reports the reviewer will retain outside the new system.

Controller's accounting-system migration checklist

Name the cutover date, migration owner and independent reviewer.

Export trial balance, general ledger, open receivables, open payables and bank reconciliation reports.

Archive invoices, bills, attachments and audit evidence that may not transfer as linked records.

Map the chart of accounts, tax codes, tracking categories and project dimensions.

Import opening balances and open items into the destination system.

Reconcile bank and control accounts to the signed source trial balance.

Test payroll, payments, recurring bills and integrations before the first live close.

Document variances, reviewer approval, backup location and access to the retired system.

QuickBooks documents exports of reports and lists as Excel files, with separate steps for attachments and other data. Don't assume a report export automatically carries every attachment or an identical audit history into another product.

The migration acceptance test is simple to describe: the opening balance sheet agrees, outstanding invoices and bills can be traced, the bank reconciliation is reproducible and the controller has signed the exceptions. A consultant's migration-complete email isn't a substitute for those checks.

For a busy finance team, a parallel close can be worthwhile. Run the same reporting period in the old and new systems, compare material balances and identify whether discrepancies come from cutover mapping or genuine transactions. Don't retire the old workflow until the reviewer can explain the differences.

QuickBooks vs Xero: which should you choose?

QuickBooks is the safer choice when its inventory workflow, accountant familiarity or Advanced controls are central to the business. Xero's compelling for service teams that need broad access at a lower base subscription price and can work within its feature and add-on boundaries.

US retailer using inventory reports and purchase orders in accountingQuickBooks Online

Service business with many staff members collaborating on bookkeepingXero

Controller needs custom roles and the Advanced reporting suiteQuickBooks Online

Project services with foreign-currency accounting on EstablishedXero

If your accountant is already committed to one platform, keep it until the migration benefits are proven. Compare the evidence trail, not just the time taken to click through the screen.

A separate close coordination system can complement either accounting product when the team needs preparer and reviewer assignments, proof attachments and sign-off outside the general ledger.
